On the Teams and Enterprise plans, your organization pays per seat. Every member of your organization uses one seat. This page explains how to manage seats, what happens when you run out, and how invoices and payments work.
Only the organization Owner can open Settings → Billing, change seats, and see invoices.

Seats

The plan card at the top of Settings → Billing shows how many seats you are using, for example 3 of 5 seats used. If a promotion gave you free seats, they are listed separately and counted in the total.

Adding or removing seats

1

Open Manage Seats

On the plan card, click Manage Seats.
2

Choose the new total

Use the plus and minus buttons or type the total number of seats you want. The dialog shows the current count on the left and the new count on the right.
3

Review the preview

Below the counter, Wave Connect shows what is Due Today and the amount of your next invoice. Click the preview to see the full breakdown.
4

Confirm

Click Update Seats. Added seats are charged as a prorated amount for the rest of your billing period.
A few rules apply:
  • Team plans start at 3 seats.
  • You cannot set fewer seats than the number of members in your organization. Remove the members first, then lower the seat count.
  • You need a billing address or a default card on file before changing seats. If one is missing, the dialog asks you to Add a credit card.
  • If your next invoice will bill a different number of seats than today, the plan card notes You will be charged for N seats on the next invoice.
  • Organizations on a legacy price cannot change seats from the dashboard. Contact billing@wavecnct.com instead.

Bulk discount

Seat prices drop as your organization grows. When you open Change Plan, the Teams card shows a Start at price. Hover over it to open the Bulk Discount table, which lists the price per user for each range of users (the first users, the next range, and so on). The discount is applied automatically based on your total seat count.

When there is no free seat

When someone tries to add a member, send an invitation, or import users and every seat is taken, Wave Connect shows a warning: No available seats remaining, or N more seats required when several are missing.
  • If you are the Owner, click Add seats to open Manage Seats with the missing seats already filled in.
  • Other admins see the warning without the button. Ask your Owner to add seats.
If Automatically Approved Seats is enabled, this warning does not appear and the seat is added for you. See the next section.

Automatically approved seats

Automatically Approved Seats lets Wave Connect add a seat whenever a new member joins, instead of blocking the addition until the Owner buys one. It is found at the bottom of Settings → Billing and is Enabled by default for organizations.
  • Enabled: new members are added right away and the extra seat is billed on your subscription.
  • Disabled: new members cannot be added until the Owner adds seats with Manage Seats.
Integrations that create users on their own, such as SAML SSO, SCIM provisioning, and HRIS syncs, can add seats automatically while this setting is enabled. Each new seat is charged to your subscription. Wave Connect shows the reminder This integration can automatically add seats, which could lead to charges when you set them up.
Switch the setting off and click Save if you prefer to approve every seat yourself.

Invoices

Open Settings → Billing and scroll to the Invoices card. Every invoice is listed with its date, invoice number, amount, and status (Paid, Open, or Draft). From the menu on an invoice you can:
  • View Invoice to open the detailed page, with line items, subtotal, discounts, taxes, and total.
  • Download Invoice to save the PDF.
  • Download Receipt to save the payment receipt, available once the invoice is paid.
Invoices are also sent by email. Use Invoice Email Recipient and Invoice Language on the Billing page to choose who receives them and in which language. See Billing.

Upcoming payment

The plan card shows Next payment due and the Amount Due for your current period. Click View Upcoming Invoice to open a draft of your next invoice, marked Upcoming Payment. This draft keeps updating until the end of your billing period, so seat changes and credit purchases made today appear on it right away.
Invoices are available for subscriptions paid by card. Subscriptions bought through the iOS app are billed by Apple and do not appear here (see below).

Past-due payments

If a payment fails, the invoice stays Open and your subscription becomes past due. This applies to both your plan and any credit plan.
  • The Owner sees a red banner on every page: One or more invoices are past due, with a Go to Billing button.
  • The plan card shows a Past Due badge.
  • The open invoice shows This invoice has not been paid yet with a Pay now button.
To resolve it, update your card under Settings → Billing or click Pay now on the invoice. The banner disappears once the invoice is paid. If you need help, contact billing@wavecnct.com.

Promotion codes

You can redeem a promotion code in two places:
  • At checkout, when you subscribe or upgrade: open Have a coupon, enter your Coupon code, and click Apply. Only one discount can be active on a subscription. If one is already applied, for example a referral discount, the button shows You already have a discount.
  • When buying credits: in the Buy credits dialog, enter your Promo code and click Apply. The code appears as a tag that you can remove before paying.
Discounts appear as their own line on the invoice, with the amount or percentage off.
If a friend sent you a referral link, their discount is applied automatically when you choose a Pro or Teams plan. You do not need a code. See the Referral Program.

Subscriptions bought through the iOS app

If you upgraded to Pro inside the Wave Connect iOS app, your subscription is billed by Apple, not by Wave Connect.
  • Settings → Billing shows your plan and Next payment due. In the iOS app, Manage Subscription opens your Apple subscription settings. On the web, the page shows To manage your subscription, please go to the iOS mobile app.
  • Changing plans, cancelling, and refunds are handled by Apple through your Apple ID subscriptions.
  • Invoices and receipts come from Apple by email and are not listed on the Billing page.
